The team also pulled biweekly accounts receivable reports from ASAP to improve billing processes. The ASAP support team provided two training sessions to help the student services team take advantage of more beneficial features of the registration system. The team also enhanced communication with constituents by surveying parents, students, and staff on their remote learning preferences and experiences navigating the pandemic during the summer, fall, and spring semesters. Marketing: After the completion of the renovation, Marketing had the Dorothy Maynor Hall staged and photographed, and began advertising for event rentals towards Strategic Plan initiatives of increasing earned income streams. The Department focused on market segmentation and greater use of digital platforms to achieve its marketing goals. Social media platforms such as Facebook and Instagram continue to be the primary marketing tools, along with paid advertisements on family-focused regional websites. In addition, HSA sends monthly digital newsletters to its 14,000 subscribers. Development: The Development department acted swiftly in response to the COVID-19 pandemic, maintaining ongoing grant procedures while also securing numerous emergency relief grants and a Paycheck Protection Plan loan. Site visits and informational sessions were conducted virtually and in person with six major institutional donors as part of an overall increase in stewardship. The department performed a database migration to the Neon platform as part of a system upgrade.Operations: HSA continued to address safety protocols to plan for the return of students for summer and fall programming, including but not limited to drop off / pick up, app support for tracing, limited capacity in rooms, limited on-site space usage, internal end of year programming & rentals. We identified an outlet for an air purifier in all rooms to support constant airflow and installed MERV air filters throughout the building.Facilities: We upgraded three outdated electrical breakers and added power to the second floor to serve all ensemble rooms, offices, and shared spaces. Nu Way, a new HVAC company, has begun to provide scheduled maintenance, reduce cost, and incur equipment longevity.Information Technology: IT helped set up the new electronic lockers system, improved security systems and remote access systems for HSA's employees. A new classroom has been set up with 11 computers, tablets and graphic design software. All staff computers and servers were updated to the latest operating system and tools. The phone system has been improved, IT's security and the Wi-Fi network was been expanded. More automation tools have been developed to help HSA employees. Two more servers were deployed to improve the redundancy of the IT system. A new Internet microwave connection has been installed putting an antenna on the roof.COVID Response & HSA Safety Plan: A Safety Plan was put in place with evolving updates to reflect the latest best practices in health and safety. HSA will continue to monitor official information and recommendations of the CDC and public health authorities regarding best practices in preventing the spread of COVID-19. Efforts also including enhanced cleaning protocols, installing MERV-13 filters to improve the quality of ventilation and air filtration.
