Grants included college scholarships, learning opportunities such as faculty professional development, tuition to programs and summer intensives at prestigious venues, private lessons, travel assistance for students to visit universities and to participate in competitions, musical instruments, dance clothing, school supplies, laptop computers, software and upgraded theater lighting in the school. In addition to the grants administered, the Advisory Board facilitated and/or funded the second year of a collaborative program between the Dallas Theater Center and the school's Theater Cluster, a quartet-in-residence program with the Dallas Symphony Orchestra, a program to create and produce a CD in the Music Cluster and initiated an arrangement with the Metropolitan Opera of New York to begin complete a Master Applicant Profile Statement (MAPS) which is designed to standardize and simplify the process for every student enrichment fund administered by the Organization. Students are responsible for updating the MAPS form with any changes occurring after its initial completion (e.g. change of address, current transcript, etc.). MAPS is then supplemented with an application directly to the specific-use fund that is available for the type of project proposed. Supporting documents such as reference letters, proof of financial need and the applicant's personal statement are included in the application. A committee composed of Organization members and, when applicable the donor(s) who initiated the fund, reviews each applicant file, comparing the application to the guidelines of the fund. The committee discusses the qualifications of each applicant and decides on the recipient(s) of the award(s). Every grant requires a proof of the expenditure and a follow-up report to the Organization and donors from the recipient.Faculty Grants: The Organizations Faculty Enrichment Committee (FEC), with guidance from the school principal, establishes a timeline for the receipt, review and awarding of grants. Faculty grant applications are made available to faculty members through the school principal's office, the Organizations office and online. Upon receipt of completed applications, copies are provided to all committee members and to the principal for review and distribution to the Campus Leadership Team (department chairs and applicable administrators). The principal and the Campus Leadership Team meet separately to evaluate and prioritize the applications. The results of this review are forwarded to the FEC for consideration during the final evaluation process by the committee. Generally, more consideration is given to those requests that will eventually impact the largest number of faculty and students and those requests that integrate departments and disciplines; however, individual grants are also given serious consideration. Final decisions on the awards are made by the FEC. Funds are distributed to the individuals or organizations upon receipt of necessary documentation. The FEC receives written reports from individual faculty members and communication from the principal after completion of the projects. In addition, when appropriate, committee members are invited to special presentations during faculty development meetings. Form 990, Part VI, Line 15b Form 990, Part VI, Line 15b: Compensation Review and Approval Process for Officers and Key Employees The Executive Director of the Advisory Board reports directly to the Advisory Board President. On an annual basis, the President reviews the performance of the Executive Director and makes a recommendation to the Executive Committee with regard to adjustments to the Executive Director's compensation and benefits.In 2010 the Advisory Board hired a new Executive Director. A Search Committee , composed of members of the Board of Directors, conducted the recruitment process. Prior to hiring the new Executive Director the organization obtained information from the Center for Non-Profit Management on salary ranges for organizations of comparable size in both revenues/expenditures and staffing. In addition, an independent consultant was engaged to review the benefits provided by the new Executive Director's previous employer and to obtain quotations for comparable benefits to be provided by the Advisory Board. Form 990, Part VI, Line 12c Form 990, Part VI, Line 12c: Explanation of Monitoring and Enforcement of Conflicts Members of the Board of Directors and the Executive Director are requested to complete a conflict of interest disclosure form annually. New board members are provided with a copy of the Organization's Conflict of Interest Policy during their Board of Directors Orientation meeting. The employee handbook also contains the conflict of interest policy. The Executive Committee has the authority to waive the provisions of the policy for good cause upon disclosure to the Committee of all material facts of the transaction. Any member of the Executive Committee who may be involved in the transaction in question is not permitted to participate in the decision to waive the provisions of the policy. Form 990, Part VI, Line 11 Form 990, Part VI, Line 11: Form 990 Review Process The Advisory Board's Audit Committee formally reviews Form 990 before it is finalized. Upon completion of the Audit Committee review, Form 990 is circulated by email to the Executive Committee for review prior to filing. The Treasurer works with the preparer and reviews Form 990 in detail before it is circulated to the Audit and Executive Committees.
