As a result of our marketing efforts tens of thousands of delegates and visitors came to the Aberdeen area. We staff and maintain two visitor centers where we provide information about the community, our facilities, attractions and events. The Visitor Centers also provide regional and state-wide information about SD. The Visitor Centers serviced guests from 47 states, 5 Canadian provinces and over 20 foreign countries. We print several publications that are distributed to entice visitors to the area and maintain four comprehensive websites, two geared to the leisure tourist and two geared to the hunting and fishing sportsman. Grants are approved prior to disbursement. Applicant must complete the Event Evaluation Form Recap and return it to the Aberdeen Area Convention & Visitors Bureau within 15 days of the close of the event. The Aberdeen Hotel Alliance (AHA) reserves the right to withhold up to 50% of the total funding awarded until the applicant completes this form. Failure to provide this information will result in the loss of retained funding and may eliminate the event from future funding by AHA. Form 990, Part VI, Section A, line 1 There shall be an Executive Committee comprised of the President, the President-Elect, the Immediate past President, and the Secretary/Treasurer of the Convention and Visitors Bureau. The Executive Committee exercises the powers of the board in the interim between regular meetings of the board, and makes recommendations to the board. The Executive Committee is also responsible for employment or termination of the Executive Director. Form 990, Part VI, Section B, line 11b The draft Form 990 will be reviewed by the Executive Director and the Finance Manager before filing. The final return will be presented to the Executive Committee and the Board of Directors after filing. Form 990, Part VI, Section B, line 12c Each board member, the Executive Director and the Finance Manager sign a conflict of interest statement annually and as a situation arises. The documents are provided to the Executive Director for review. At the beginning of each board meeting, a conflict of interest statement is read to determine if any conflicts exist for any of the agenda items. After disclosure of the financial interest and all material facts, and after any discussion by the board members with the board member, the board member shall abstain from voting or any discussion. The remaining Board or committee members shall decide if a conflict of interest exists.
