The CVB bids on conventions and events and provides services to these groups including, but not limited to, personalized name badges, visitor welcome packets, coupons, maps, weather updates, registration staff assistance, site location selection, official City welcomes, hospitality breaks, event sponsorship and spouse tours. In addition, the CVB coordinates volunteers for many events and hosts the hospitality rooms for the SDHSAA State Tournament events. In 2018, the CVB coordinated over 613 volunteer hours with our core group of volunteers for a total value of $14,797 (Independent Sector Report).The Aberdeen Area Convention & Visitors Bureau operates two Visitor Information Centers, one in our main office at 10 Railroad Ave. SW and one in the Visitor Center at Storybook Land. At the Storybook Land site, we employ a staff of six seasonal staff and 16 volunteer workers. We coordinate work schedules, conduct customer service training, order and stock both centers with literature and assist visitors. We also provide the SD State Information Centers with thousands of the official Aberdeen Community Guide which we develop each year. The official Aberdeen Guide is also made available to other organizations and businesses such as the Downtown Association, Chamber, ADC, Aberdeen Regional Airport, Library, City offices, lodging facilities and other Aberdeen businesses to be used in their marketing, and recruiting efforts.The Aberdeen Area Convention & Visitors Bureau is the organization that coordinates requests for information about our City and attractions. In 2018 we mailed or distributed 29,342 requests for information from our ad placements, our websites, travel show attendance, social media, digital marketing and by phone. We also fulfilled requests for several thousand official Aberdeen Guides that were sent to area, regional and state visitor centers. The CVB will continue to track our requests for information by location and promotion/ad to determine effectiveness and response rate. In 2018 we distributed 29,342 Aberdeen community guides and visitor packets of community information. This number reflects the East River Literature Swap, Travel and Sports Shows along with visitor packets for conventions, meetings, sporting events and reunions.The CVB currently maintains a database of 907 conventions/reunions/group tours. We revamped the database to be more efficient on our end. This represented some classifications and numerous updates to make the process easier to track. Our goal is to contact/update each of these groups in 2020 depending upon their meeting date. We have set a goal to research additional leads of 4/month.The Aberdeen Area Convention & Visitors Bureau is proud to play a role in the economic growth, vitality, and quality of life in Aberdeen. Grants are approved prior to disbursement. Applicant must complete the Event Evaluation Form Recap and return it to the Aberdeen Area Convention & Visitors Bureau within 15 days of the close of the event. The Aberdeen Hotel Alliance (AHA) reserves the right to withhold up to 50% of the total funding awarded until the applicant completes this form. Failure to provide this information will result in the loss of retained funding and may eliminate the event from future funding by AHA. Form 990, Part VI, Section A, line 1 There shall be an Executive Committee comprised of the President, the President-Elect, the Immediate past President, and the Secretary/Treasurer of the Convention and Visitors Bureau. The Executive Committee exercises the powers of the board in the interim between regular meetings of the board, and makes recommendations to the board. The Executive Committee is also responsible for employment or termination of the Executive Director. Form 990, Part VI, Section A, line 4 Article IV, Officer Duties: The President-Elect or designee shall assume responsibility in the absence of the President, will perform other duties as assigned by the President or the Aberdeen Area CVB Board of Directors, and will serve annually as a member on the Aberdeen Area Chamber of Commerce board with full voting rights. The Secretary Treasurer shall assume responsibility in the absence of the President and President-Elect, will perform other duties as assigned by the President, President-Elect or Aberdeen Area CVB Board of Directors. The Secretary Treasurer or an employee of the Aberdeen Area CVB shall assume responsibility of writing and taking meeting minutes. The Past President shall assume responsibility in the absence of the President, President - Elect and Secretary Treasurer, and will perform other duties as assigned by the President, President-Elect, Secretary Treasurer or the Aberdeen Area Board of Directors. The officers of the board shall be the Executive Committee. The Executive Committee are authorized signers of checks and serve as the nominating committee. Form 990, Part VI, Section B, line 11b The draft Form 990 will be reviewed by the Executive Director and the Finance Manager before filing. The final return will be presented to the Executive Committee and the Board of Directors after filing. Form 990, Part VI, Section B, line 12c Each board member, the Executive Director and the Finance Manager sign a conflict of interest statement annually and as a situation arises. The documents are provided to the Executive Director for review. At the beginning of each board meeting, a conflict of interest statement is read to determine if any conflicts exist for any of the agenda items. After disclosure of the financial interest and all material facts, and after any discussion by the board members with the board member, the board member shall abstain from voting or any discussion. The remaining Board or committee members shall decide if a conflict of interest exists. If a merit increase is granted, the increase will be assessed to the first payroll in January. This process is true for all employee merit increases.
